How to Respond to Negative Google Reviews (with Examples)

Updated October 28, 2026 · By the Business Profile for Google team

A bad review stings, but your reply is read by every future customer who sees it. A good response can turn a one-star review into proof that you care.

The 5-step framework

  1. Pause. Do not reply while you are angry. Read the review twice.
  2. Thank and acknowledge. Thank them for the feedback and acknowledge the specific problem in their words.
  3. Apologise for the experience, without arguing about the details in public.
  4. Explain what you are doing about it, briefly, if something has changed.
  5. Take it offline. Give a way to reach you directly (an email address or "ask for the manager") so you can make it right privately.

Example replies

Slow service

Hi Daniel, thank you for telling us about your visit, and I'm sorry you waited so long for your order on Saturday. That's not the experience we want for anyone. We've added a second person at the counter during weekend rush hours. If you're open to it, email us at hello@yourbusiness.com and we'd love to make it up to you.

Product or quality issue

Hi Priya, I'm sorry the repair didn't hold up. That's frustrating, and we stand behind our work. Please call the shop and ask for Mark; we'll take another look at no charge.

A review you believe is not genuine

Hi, thank you for the feedback. We take every review seriously but couldn't find a record of this visit. Please contact us at hello@yourbusiness.com so we can look into it.

What not to do

Reporting reviews that break Google's policies

You cannot delete reviews, but you can report ones that violate Google's content policies, such as spam, fake engagement, conflicts of interest, off-topic rants, profanity or harassment. Report it from your Business Profile (Reviews, then the menu next to the review) and give Google time to evaluate it. Reply politely in the meantime.

Respond faster

The longer a negative review sits unanswered, the more people read it without your side of the story. Business Profile for Google notifies you as soon as a new review arrives and can draft a reply in an apologetic tone for you to edit, so you can respond calmly within minutes, from your phone.

Frequently asked questions

Should I reply to negative Google reviews?

Yes. A calm, specific reply shows future customers how you handle problems. Many readers judge a business more by its replies to criticism than by the criticism itself.

Can I delete a negative Google review?

No. Business owners cannot delete reviews. You can reply, and you can report a review that breaks Google's policies (for example spam, fake engagement, off-topic content or harassment). Google decides whether to remove it.

Should I offer compensation in a public reply?

It is usually better to invite the customer to contact you privately and resolve it there. Do not offer incentives in exchange for changing or removing a review.

What if the review is fake?

Reply briefly and neutrally (for example, that you cannot find a record of the visit and invite them to contact you), then report the review to Google from your Business Profile.
